If you’re a corporate planner or executive assistant who’s been tasked with finding a venue in Denver, you’ve probably already experienced that moment: you send out a few inquiry emails, start getting numbers back, and suddenly realize the budget conversation with your boss needs to happen sooner rather than later.
We get it. Denver’s event scene is vibrant and growing, and there are genuinely great options out there. And venue pricing can feel like a bit of a puzzle when every venue seems to present costs differently. So let’s break it down in plain terms: what you’re actually paying for, what to watch out for, and how to compare apples to apples when you’re evaluating spaces.
The Honest Price Range for Denver Event Venues
Venue rental rates in the Denver metro area typically range from $150 to $300 per hour for most event spaces, though large-scale or premium downtown venues can run $500 or more per hour. For full-day or evening events, you’re often looking at flat rental fees rather than hourly rates, and those can land anywhere from $2,500 on the lower end to $8,000 or more for a Saturday night at a well-appointed space.
But here’s the thing: the rental fee is just one line item. For most venues, it’s the starting point of a much longer invoice.
What the Venue Fee Usually Doesn’t Include
This is where planners and EAs often get tripped up, and honestly, it’s not your fault. The industry isn’t great at presenting total event costs upfront. When you’re comparing venues, here are the add-ons that can significantly change your bottom line:
Catering. Most venues are either catering-exclusive (you must use their preferred caterer) or catering-flexible (you can bring in anyone, which sounds great until you’re managing three separate vendor contracts). Either way, food and beverage costs for a corporate dinner or gala can run $75–$150 per person before tax and gratuity.
Bar service. Often priced separately from food, either as a per-person package or a consumption bar. Budget $25–$50 per person depending on the format.
Audio/visual. Some venues include basic A/V in the rental fee (a speaker system, a screen or monitor, a microphone for announcements) and contract with outside A/V vendors for anything more involved. Others include nothing at all. Either way, if your event requires full production, professional lighting, or live tech support, budget $1,500–$5,000+ for an outside A/V company at a mid-sized corporate event. Make sure you know exactly what’s in-house and what isn’t before you sign.
Furniture and rentals. Some venues include tables and chairs; many don’t. Linen, specialty seating, staging, and décor rentals can add another $2,000–$5,000 to the total.
Event staffing. Setup crew, event-day managers, coat check, security: these are often either not included or vaguely defined in the initial quote.
Parking. In downtown Denver especially, parking can be a real logistical and financial burden for your guests. It’s worth factoring in whether the venue offers complimentary parking or whether you’ll be subsidizing a nearby garage.
When you add it all up, a “budget-friendly” $3,000 rental fee can easily become a $25,000–$40,000 event by the time everything is coordinated and contracted.
The Bare-Shell vs. All-Inclusive Question
One of the most important questions to ask any venue is: what does your rental fee actually include?
Bare-shell venues give you the space and not much else. You’re responsible for finding, contracting, and coordinating every vendor (catering, bar, A/V, design, staffing) independently. For planners with strong vendor relationships and time to manage it, this can work well. For executive assistants or anyone juggling event planning alongside a full workload, it often becomes overwhelming fast.
All-inclusive venues bundle most or all of those elements under one roof and one contract. You’re working with one team, one point of contact, and one invoice. The total cost may look higher on paper initially, but when you factor in the time saved, the reduced risk of vendor miscommunication, and the streamlined planning experience, the value is genuinely significant.
What to Ask When You’re Comparing Venues
When you’re evaluating options, we’d encourage you to ask every venue these questions before you make any decisions:
- What’s included in the rental fee? Tables, chairs, linens, A/V, staff?
- Do you have an in-house catering team, or do I need to source that separately?
- Is there a food and beverage minimum?
- What does your event-day staffing look like? Who’s on-site and what are they responsible for?
- Is there a dedicated event manager assigned to my event?
- What does parking look like for guests?
The answers will tell you a lot about the real cost and about how easy or complicated the planning process is going to be.
